This policy applies to website visitors, prospective clients, clients, and email subscribers. It does not apply to information processed entirely by an independent third-party website under that third party’s own privacy policy.

Please do not submit sensitive personal information unless it is necessary for the service and we have agreed on a secure way to receive it.
Payment Information
Payments may be handled through Zelle, PayPal, Stripe, or payment features available through Kianis, a white-label platform powered by HighLevel. These providers process payment information under their own terms and privacy policies.
We may receive transaction details and limited billing information needed for invoicing, bookkeeping, refunds, dispute handling, and legal compliance. We do not directly collect or store complete credit or debit card numbers, card security codes, or online banking login credentials.
Information Collected Automatically
When you visit the website, we and our service providers may automatically collect information such as:
- Internet Protocol address.
- Browser, device, and operating-system information.
- Approximate location based on your IP address.
- Referring website or link.
- Pages viewed, links clicked, time spent, and other website activity.
- Cookie identifiers, conversion events, and similar technical information.
We collect this information through server logs, cookies, pixels, and similar technologies.
How We Use Personal Information
We may use personal information to:
- Respond to questions, inquiries, and client applications.
- Determine whether a project is a good fit and prepare proposals or agreements.
- Provide, manage, personalize, and improve our services.
- Communicate about projects, appointments, invoices, payments, and support requests.
- Process transactions and maintain business, accounting, and tax records.
- Send newsletters or promotional emails when you have chosen to receive them.
- Understand website use, measure performance, and improve the visitor experience.

- Prevent spam, fraud, misuse, security incidents, and technical problems.
- Enforce our agreements and protect our legal rights.
- Comply with applicable laws, court orders, and lawful government requests.
Where applicable law requires a legal basis for processing, we rely on consent, steps requested before entering a contract, performance of a contract, compliance with legal obligations, and our legitimate interests in operating and protecting the business.
Cookies, Analytics, and Tracking Technologies
The website may use cookies and similar technologies for:
- Necessary functions: Website operation, security, fraud prevention, form functionality, and saved preferences.
- Analytics: Understanding how visitors find and use the website through tools such as Google Analytics and Google Tag Manager.
- Marketing: Measuring visits, conversions, and advertising performance through tools such as the Pinterest Tag.
Where required by law, nonessential analytics and marketing technologies will be used only after consent. You may manage available choices through the website’s cookie controls or your browser settings. Blocking some technologies may affect certain website features.
The website does not currently respond to browser “Do Not Track” signals because there is no consistent industry standard for those signals.
Email Marketing
We send marketing emails only when you choose to subscribe or otherwise provide valid permission. Each promotional email will include an unsubscribe option. You may also unsubscribe by emailing support@thatcreativeva.com.
Unsubscribing from marketing does not prevent us from sending messages needed to respond to an inquiry, provide contracted services, complete a transaction, or communicate important account or legal information.
We may retain a limited suppression record after an unsubscribe request so that we can honor the request.
How We Share Personal Information
We may disclose personal information only as reasonably necessary to:
- Website hosting, content delivery, security, spam prevention, and technical service providers, including Hostinger, WordPress-related services, and QUIC.cloud.
- Customer relationship management, forms, scheduling, email, and automation providers, including Kianis and HighLevel.
- Analytics and marketing providers, including Google and Pinterest.
- Payment providers, including Stripe, PayPal, and Zelle or the financial institutions that provide Zelle access.
- Contractors or professional advisers who need the information to perform services for us and are expected to protect it.
- Government agencies, regulators, courts, or other parties when disclosure is required by law or reasonably necessary to protect rights, safety, and security.
- A successor or potential successor in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to appropriate safeguards.
We do not sell personal information for money. Some analytics or marketing activities may be treated as “sharing,” “selling,” or “targeted advertising” under certain privacy laws even when no money is exchanged. Where an applicable law gives you the right to opt out, you may use available cookie controls or contact us using the information below.
Third-Party Websites and Embedded Content
The website may link to or display content from third-party websites or platforms. Those parties may collect information through their own cookies, pixels, forms, or account systems. Their privacy practices are governed by their own policies, and we are not responsible for how independent third parties handle information.
Client Data We Process While Providing Services
While performing virtual assistant services, we may access information in a client’s accounts, files, stores, membership platforms, email systems, customer-support systems, or other business tools. When we process personal information solely on behalf of a client:
- The client determines why the information is processed and is responsible for its own privacy notices and lawful instructions.
- We use the information only to provide the agreed services, follow the client’s documented instructions, maintain security, and meet legal obligations.
- We do not use the client’s customer information for our own marketing.
- We will return or delete client-provided information when the engagement ends or it is no longer needed, subject to contractual, backup, security, and legal-retention requirements.
When appropriate, we may enter into a separate data-processing agreement with a client.
Data Retention
We keep personal information only as long as reasonably necessary for the purposes described in this policy. Retention depends on the type of information, our relationship with you, legal and tax requirements, contractual obligations, dispute-resolution needs, security concerns, and whether the information is needed to provide services.
For example:
- Inquiry and application information is retained while we evaluate and respond to the request and for a reasonable period afterward for follow-up and business records.
- Client, contract, invoice, payment, and project records may be retained during the relationship and afterward as required for accounting, tax, legal, and dispute-resolution purposes.
- Email subscription information is retained until you unsubscribe or the list is discontinued, with limited information retained when needed to honor an opt-out request.
- Account access and project materials are retained only while reasonably needed to perform the agreed work, subject to backup, contractual, or legal requirements.
- Cookie and analytics information is retained according to our settings and the applicable provider’s retention practices.
When information is no longer needed, we may delete it, anonymize it, or securely dispose of it.
Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. These may include limited access, password-management tools, secure service providers, encryption where available, software updates, security monitoring, and backups.
No method of internet transmission or electronic storage is completely secure. We cannot guarantee absolute security, but we will take reasonable steps to protect the information under our control and respond appropriately if we learn of a security incident.

That Creative VA is based in Vermont, United States. Personal information may be processed in the United States or other countries where our service providers operate. Those countries may have privacy laws that differ from the laws where you live.
